TeeLead ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application (the "App"). Please read this Privacy Policy carefully. If you do not agree with the terms of this Privacy Policy, please do not access or use the App.
Information We Collect
Information You Provide to Us
- Account Information: Email address is collected for account identification. Authentication credentials are handled securely using industry-standard authentication mechanisms. Plaintext passwords are NOT stored on servers.
- Lead Information: When you capture leads at events, you create interaction records that associate you with attendees. The attendee information (name, email address, company name, job title, phone number, LinkedIn profile) has been previously imported into the system by conference administrators before the event. When you capture a lead, you provide:
- Interaction notes (optional)
- Interaction type (required)
- Profile Information: We may collect your name, company affiliation, and contact information associated with your sponsor account.
- Other User Content: We collect additional information you provide or that is associated with leads, including company names, job titles, LinkedIn profile URLs, and interaction notes. This data is linked to your account and used for app functionality.
Attendee information is imported into the system by event or conference administrators. This information is provided by attendees during event registration or ticket purchase processes, where attendees are informed that their details may be shared with event sponsors and exhibitors for networking and lead engagement purposes.
Information Collected Automatically
- Device Information: We collect information about your device, including device type and operating system. We use only app-scoped or randomly generated identifiers (e.g., Firebase Instance ID) for first-party analytics, crash reporting, and app functionality. Apple IDFA is NOT collected. No device fingerprinting occurs.
- Usage Data: We collect information about how you interact with the App, including features used, time spent, and navigation patterns. This data is collected through Firebase Analytics to help us understand app usage and improve user experience.
- Log Data: Our servers automatically record information when you use the App, including IP address, access times, and error logs. Note: IP addresses are collected server-side by our API backend when you make requests, not by the mobile app itself.
Camera and Permissions
Camera Access: The App requests camera permission to scan QR codes for lead capture. We do not store, transmit, or share any images or video captured by your camera. Camera access is used solely for QR code scanning functionality.
File Access
File Picker Access: The App may request access to your device's file system to import CSV files for attendee and sponsor data management (administrators only). We do not access, store, or transmit any files other than those you explicitly select for import.
How We Use Your Information
We use the information we collect to:
- Provide and Maintain the App: Deliver the lead capture and management services you request.
- Process Leads: Store and manage leads you capture at events, including synchronising data between your device and our servers.
- Authenticate Users: Verify your identity and manage your account access.
- Improve the App: Analyse usage patterns to enhance functionality and user experience.
- Communicate with You: Send you important updates, notifications, and support communications related to the App.
- Comply with Legal Obligations: Meet legal requirements and respond to legal processes.
Data Storage and Security
Local Storage
- Secure Storage: Sensitive information such as authentication tokens are stored using platform-specific secure storage (iOS Keychain/Android Keystore), which provides encryption at rest.
- Local Database: Lead data is stored locally on your device using an encrypted local database to enable offline functionality.
Server Storage
- Cloud Storage: Lead data is synchronised to our secure servers to enable multi-device access and data backup.
Data Retention
- Account Data: Sponsor account data and lead data are retained for as long as necessary to provide our services and comply with legal obligations. Sponsors can delete their own accounts at any time through the Settings screen in the App. When you delete your account:
- Your account will be permanently deleted across all conferences
- All leads you have captured will be permanently deleted
- All associated data (QR tokens, etc.) will be permanently deleted
- You will be automatically logged out
- This action cannot be undone
- Lead Data Retention: If not manually deleted, lead data is typically retained for 24 months following an event to allow sponsors to export their records, after which it may be archived or deleted.
- Analytics and Crash Data: Usage data and crash reports collected through Firebase Analytics and Crashlytics are retained for up to 12 months to improve app performance and user experience, after which they may be aggregated or deleted.
- Attendee Data: Attendee information is imported into and managed by conference administrators. This data is retained for as long as necessary to provide conference services and comply with legal obligations. Attendee data is only accessible to sponsors once a physical interaction (QR scan) occurs, confirming the attendee's intent to share data in real-time.
- Data Deletion Requests: Users can delete their account and all associated lead data directly within the App's settings. Deleting an account will permanently destroy all captured leads and personal information associated with that account. Alternatively, users may contact the applicable conference administrator.
Security Measures
We implement appropriate technical and organisational measures to protect your information, including:
- Encryption of data in transit (HTTPS/TLS)
- Encryption of sensitive data at rest
- Secure authentication mechanisms
- Regular security assessments and updates
- Access controls and authentication requirements
Data Sharing and Disclosure
We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:
- With Your Organisation: Lead data you capture is accessible to authorised administrators within your organisation (sponsor company) for event management purposes.
- Service Providers: We may share information with trusted third-party service providers who assist us in operating the App, conducting business, or serving users, provided they agree to keep information confidential.
- Legal Requirements: We may disclose information if required by law, court order, or government regulation, or to protect our rights, property, or safety, or that of others.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
Third-Party Services
Firebase is the only third-party SDK/service used in the App that collects user data.
We use the following Firebase services (Google services) that may collect information:
- Google Firebase Analytics: We use Firebase Analytics to understand how users interact with the App. Firebase Analytics collects:
- Device information (device type, operating system, app-scoped identifiers)
- Usage data (features used, time spent, navigation patterns, screen views)
- Product interaction data (user actions, events, custom events) - This data is linked to your app account for first-party analytics and product improvement purposes
- This data is used for app functionality and analytics purposes only, not for advertising or cross-app tracking
- Analytics and usage data, including product interaction data, is associated with your app account (via user ID and user properties) for first-party analytics and product improvement only. No cross-app or cross-website tracking occurs.
This data is collected in accordance with Google's privacy policy, available at https://policies.google.com/privacy.
- Google Firebase Crashlytics: We use Firebase Crashlytics to identify and fix app crashes. Crashlytics collects:
- Crash reports and stack traces
- Device information (device type, operating system)
- Error logs and diagnostic information
This data is collected in accordance with Google's privacy policy, available at https://policies.google.com/privacy.
No other third-party SDKs or services collect user data in the App.
Your Rights and Choices
You have the following rights regarding your personal information:
- Access: Request access to the personal information we hold about you.
- Correction: Request correction of inaccurate or incomplete information.
- Deletion: Request deletion of your personal information, subject to legal and contractual obligations.
- Data Portability: Request a copy of your data in a structured, machine-readable format.
- Opt-Out: Uninstall the App at any time to stop data collection.

Children's Privacy
The App is intended for professional/business use. The App is not directed to children under the age of 13. No knowing collection of data from children under 13 occurs.
International Data Transfers
Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that differ from those in your country. By using the App, you consent to the transfer of your information to these countries.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy in the App and updating the "Last Updated" date. You are advised to review this Privacy Policy periodically for any changes.
